What admins can see

In their account, members read the sentence Your chats are private to you – admins see usage and cost, never message content. That is exactly how it is built: there is no function that lets an admin open a member's chat.

An admin only sees a chat if the member shares it with them, just like any other colleague. How sharing works is described under Sharing chats.

On the Usage page, admins see under By member · this month how many credits each person has used, which seat they hold and whether a monthly budget applies. Under By model · this month they see requests, tokens and credits per model for the whole workspace.

The page does not show which questions someone asked, on which topic or with which files. More under Usage.

Admins open it under Settings, section Activity log, with View. It shows the last 90 days, at most 300 entries, with the columns When, Who, Action and Subject. Export as CSV covers the last 12 months and adds the column Details.

It records changes to members, roles and seats, to settings and models, to the Company Brain, shared and copied chats, workspace prompts and downloads, for example of files, images, originals from a brain, the print view of a chat and invoices.

An entry names who triggered what kind of action. Chat titles and chat content never appear, and downloads never name the file. The Subject column shows, for example, the person concerned, the model or the name of a brain. For changes to brain documents and workspace prompts, the Details column in the export can contain the file name or the prompt's name. Nobody in the workspace can change or delete entries. Sign-ins do not appear in the activity log.

Every member sees in their account under How your data is handled here which rules the admins have set: the processing region, the protection level for personal data and retention. Everyone can see what happens to their chats.
