Connected accounts overview
With connected accounts, Custodos reads files and emails from your own Google or Microsoft account and, when you ask, saves drafts and events in Outlook. This page shows which providers exist, which permissions Custodos asks for and how to disconnect again.

A connection belongs to one person
Every connection belongs to your personal Custodos account, not to the workspace. Colleagues do not see it and cannot reach files or emails through your account. Admins do not set up connections for others; each person connects their own account.
The connection is independent of how you sign in to Custodos. Signing in with Google or Microsoft does not by itself give access to Drive, OneDrive or Outlook.
Custodos only shows providers that are set up on the platform. If there is no Connected accounts section in your account settings, none is available there.
The three providers
No other services can be connected. What the connections do in the chat is described under Cloud files in chat and Outlook.
| Provider | What Custodos can access | What for |
|---|---|---|
| Google Drive | Only files you pick in Google's file dialog. Custodos cannot see anything else in your Drive. Read-only. | Importing files into Company Brain, attaching them to chats and having them searched and read in the chat, always only among the files you picked. |
| Microsoft 365 | OneDrive and every SharePoint site your Microsoft account can already open. Read-only. | Importing files into Company Brain, attaching them to chats and having them searched and read in the chat. |
| Outlook (mail & calendar) | Your emails and your calendar. Custodos can read emails and save drafts, read the calendar and add events. Custodos never sends emails. Outlook only sends invitations to others after you have confirmed a meeting proposal. | Searching and summarising emails in the chat, drafting replies, adding events, importing emails and attachments into Company Brain. |
Connecting an account
You can also connect straight from a chat: in the Add menu of the message field, providers that are not yet connected are marked Connect and lead through the same steps.
- 1
Open your account settings
Open Account settings. The Your account page has a Connected accounts section. - 2
Start the connection
Click Connect next to the provider. Custodos takes you to the Google or Microsoft sign-in. - 3
Confirm the access
Sign in with the provider and confirm the permissions requested. - 4
Check the connection
Back in Custodos, the provider shows Connected with the linked account below it. A provider without a connection shows Not connected.
Which permissions Custodos asks for
The table lists the permissions you confirm with the provider, with their technical names. All three connections also ask for your account's basic details (name and email address), and both Microsoft connections ask for a permission to keep the connection alive without you signing in each time (offline_access).
| Connection | Permission | Meaning |
|---|---|---|
| Google Drive | drive.file | Access only to files you release in the file dialog. |
| Microsoft 365 | Files.Read.All, Sites.Read.All (delegated) | Reading OneDrive and SharePoint on behalf of your account, and only what you can open yourself. |
| Outlook (mail & calendar) | Mail.ReadWrite, Calendars.ReadWrite | Reading emails and creating drafts, reading the calendar and adding events. Custodos does not ask for the permission to send emails (Mail.Send). |
Consent from your Microsoft 365 admin
Many organisations do not let their staff grant apps access themselves. In that case Custodos shows the message Your organisation requires a Microsoft 365 administrator to approve this connection before members can link it. together with the Approval link for administrators.
Pass this link on to whoever manages Microsoft 365 in your organisation. Once they have approved it, start the connection again with Connect.
Messages when connecting
| Message | What happened | What to do |
|---|---|---|
| The connection was cancelled – nothing was stored. | The sign-in with the provider was cancelled or declined. | Connect again and confirm the access. |
| The connection could not be confirmed (expired or invalid) – please start again. | The confirmation had expired or was invalid, for example because the process took too long. | Start the connection again. |
| File access was not granted at the provider – nothing can be imported without it. Please connect again and confirm the access. | A required permission was not granted at the provider. | Connect again and confirm every permission requested. |
| The provider did not complete the connection – please try again later. | Google or Microsoft did not finish the connection. | Try again later. |
Disconnecting
Under Connected accounts, Disconnect ends the connection immediately. For Google, Custodos also revokes the access with the provider. For Microsoft, Custodos deletes the stored connection; you can also remove the consent in your Microsoft account.
Documents you have already imported into Company Brain stay there. Files from Drive and Microsoft 365 that you imported are no longer checked against the source, though, and keep the state of the last successful check. The check always runs through the connection of the person who imported a file.
