Roles: admin and member
A workspace has exactly two roles: admin and member. This page shows what each role can do, what admins do not see, how to change a role and why there is always at least one admin.

Two roles, no groups
Everyone in a workspace is either an Admin or a Member. Whoever creates a workspace is its first admin. People who join later get the role chosen when they were invited.
The role applies per workspace. Someone in several workspaces can be an admin in one and a member in another. Under Your account, everyone can see which role they hold in which workspace.
What admins and members can do
Both roles work with the same features in the chat. The difference lies in administering the workspace and in access to content that others have shared.
| Area | Member | Admin |
|---|---|---|
| Chat, files, web search, choice of model | yes, within what the workspace allows | yes, within what the workspace allows |
| Chats | only their own and those shared with them | only their own and those shared with them |
| Creating Company Brains and agents | yes, except during the trial | yes, except during the trial |
| Other people's brains | if shared with them | if shared with them, or all of them when Admins have access to every brain is on |
| Other people's agents | use them if shared | see, edit and delete every agent that is not private |
| Workspace prompts | edit their own | edit all of them |
| Translator glossary | use it | edit it |
| Members, Usage, Billing, Models, Settings | not visible | manage |
| Activity log | not visible | read and export |
What admins do not see
Chats are private. Admins see usage and cost but never message content, not even in the activity log. A chat is only visible to the people its owner has shared it with.
Private prompts and private agents are likewise only visible to the person who created them, admins included. What admins can see in detail is under What admins see.
Changing a role
- 1
Open Members
In the sidebar, under Workspace, click Members. - 2
Choose the role
In the Role column next to the person, choose Admin or Member. - 3
Done
The change applies at once. Custodos confirms it and records it in the activity log as Role changed.
The last admin
A workspace always has at least one admin who can sign in. A suspended account does not count as an admin. If someone is the only admin, the Role column shows just the admin badge and no choice.
