Managing documents

For each document the list shows the columns Document, Summary, Status, Size and Added. Custodos writes the summary automatically during processing.

The newest 500 documents are shown. Search documents… filters only these shown documents by title, file name and summary. To search the content, use Test the Brain.

Open preview shows the source, the summary and the Extracted text of a document, which is exactly the text the chat searches. For documents from a web page or a cloud account, Open source takes you to the original.

When you click a source reference in chat, the preview opens right at the cited passage.

The actions sit in the Actions menu at the end of each row. You only see it if you may edit the brain.

Custodos keeps the originals of uploaded Word, Excel and PowerPoint files up to 4 MB. PDFs, pasted text and files from cloud accounts have no original in the brain. Documents from cloud accounts are edited at their source.

   Open a chat

   Choose Edit in chat on the document. Custodos opens a new chat with the file attached.

   Describe the change

   Describe what should change. The model creates an edited version as a file. Details under Editing your own files.

   Back into the brain

   Click Save to brain on the generated file. The new version carries the original's file name and replaces the old one once it is processed.

Next to the list is the Overview, an automatically generated summary of the whole brain. It appears once the first documents are processed and is rebuilt after changes. Editors can renew it at once through More actions with Rebuild overview.

Below it, editors maintain the Instructions. They apply whenever the brain is active in a chat.

Test the Brain shows which passages the chat would find for a question. Enter a question and click Search. Custodos lists the most relevant passages as matches. Ask in chat takes you on to the chat.

If the test finds nothing suitable, add documents or rephrase. The search box appears once at least one document is ready.

For temporary faults, Custodos retries processing several times before a document shows Error. If credits or a suitable model are missing, the error shows at once. The most common reasons:

You delete a single document with Delete in its row. To delete several, tick their boxes and delete them together. Deleted documents cannot be restored. Source references in earlier replies remain but no longer lead to the document.
