Cloud imports into a brain

A cloud import needs two things: the right to edit the brain, and a connected account with the provider. The connection belongs to your Custodos account. Colleagues do not see it and cannot import through your account.

You connect an account under Connected accounts in your Account settings, or straight from the Add sources menu. Where it says connect… next to a provider, one click starts the sign-in with that provider. More under Connected accounts.

The import only reads. Custodos changes nothing in your files or e-mails in the process. Every imported file goes through the same processing and the same data protection check as an upload, with a limit of 20 MB per file. Unlike an upload, a cloud import accepts no images, and Custodos refuses a PDF from which no text can be read.

   Open the picker

   In the brain, click Add sources, then Google Drive. Google's file dialog opens.

   Select files

   Select one or more files and confirm. Folders cannot be selected.

   Processing

   Custodos fetches the files and processes them like an upload. The brain does not accept images from Google Drive.

   Open the file browser

   Click Add sources, then Microsoft 365. Choose a file from Microsoft 365 opens.

   Choose a location

   Under Locations choose OneDrive or a SharePoint site and open the folders down to the file you want.

   Import the file

   Click the file. Custodos marks files that cannot be imported with Only PDF, Word, Excel, PowerPoint and text files up to 20 MB can be imported.

The Outlook connection is separate from the Microsoft 365 one and is granted on its own. What Outlook can do in chat is described under Outlook.

   Open the mailbox

   Click Add sources, then Outlook (mail & calendar). Import an e-mail from Outlook opens.

   Find the e-mail

   Search by sender, subject or content and press Enter.

   Import

   Import message text brings in the text of the e-mail. Under Attachments you choose single attachments. The brain does not accept images from attachments.

An imported document is a copy. At regular intervals, each time no sooner than 20 hours after the last check, Custodos checks whether a file from Google Drive or Microsoft 365 has changed at its source. If it has, Custodos takes the new version and processes it again. You can trigger this straight away from the document's menu with Refresh from source.

The check always runs with the account of the person who imported the file. Custodos does not re-check Outlook e-mails, because a received e-mail no longer changes.

A cloud import is not an ongoing synchronisation. Custodos takes single files, not whole folders. New files at the source do not reach the brain on their own.
